A PRACTICAL DECISION GUIDE

Can you connect software without replacing it?

A workflow can often be built around existing software. Feasibility depends on the specific interfaces, permissions and information that must be read or changed.

Map where information belongs

List the CRM, ERP, email, calendar and files involved. Give each field a trusted source: where does a customer name, order status or payment record change? Avoid two applications trying to correct the same field in different directions.

API, webhook or file exchange?

An API provides defined read and write operations. A webhook announces an event. Import and export may be enough for scheduled file exchange. Check actual documentation, plan restrictions, volumes and permissions. An application name alone does not establish compatibility.

What if there is no API?

File exchange or interface automation may fit some tasks. Browser changes can break an interface-based connection, so include monitoring and maintenance. When the connection becomes too fragile, compare it with a limited process change or replacement.

Where does AI fit?

AI can extract information from a document or interpret an inquiry. Updating another system still requires field mapping, validation and duplicate handling. InvoiceFlow illustrates document processing, matching and human review within one workflow.
